As a QC Admin Assistant, you will play a key role in maintaining quality records, coordinating with production teams, and ensuring that all compliance paperwork is up-to-date. You will work closely with the Quality Control department to streamline processes and support daily clerical activities. Responsibilities
- Prepare, organize, and maintain quality control documentation, inspection reports, and compliance records.
- Assist in data entry and updating of QC databases, ensuring accuracy and timely submission.
- Coordinate with production and warehouse teams to schedule inspections and sample collections.
- Handle incoming and outgoing correspondence related to quality assurance, including emails and filing.
- Monitor inventory of office and QC supplies, placing orders when necessary.
- Support the QC team in generating daily, weekly, and monthly performance reports and summaries.
- Participate in internal audits and help prepare documentation for external audits as required.
- Perform general administrative duties such as photocopying, scanning, and answering phone calls.
Qualifications
- Minimum GCE ‘O’ Level or equivalent; Diploma in Business Administration or related field is an advantage.
- Proven experience in an administrative role, preferably in a manufacturing or QC environment.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) – especially Excel for data entry and reporting.
- Strong attention to detail and ability to spot discrepancies in documents and data.
- Excellent time management skills and ability to prioritize tasks in a fast-paced setting.
- Good written and verbal communication skills in English; basic knowledge of Mandarin is a plus for liaising with Mandarin-speaking colleagues.
- Ability to work independently with minimal supervision and as part of a team.
- Prior experience with document control or quality management systems (e.g., ISO 9001) is highly desirable.
