In this key position, you will ensure the seamless delivery of high-quality and professional HR services through the effective administration of the HR Department's systems and procedures. You will also act as the personal assistant to the General Manager, providing high-level administrative support and ensuring the smooth operation of the executive office.
As an Admin Supervisor, you will be the backbone of our administrative functions, coordinating office activities, managing schedules, and implementing efficient systems. You will lead a team of administrative professionals, manage key HR functions such as recruitment coordination and performance management support, and directly support the General Manager. Responsibilities
- Oversee the daily operations of the administration department to ensure efficiency and compliance with company policies.
- Manage and coordinate the General Manager's schedule, including meetings, appointments, and travel arrangements.
- Act as the primary point of contact for internal and external communications on behalf of the GM's office.
- Supervise and mentor administrative staff, fostering a collaborative and high-performance team environment.
- Administer HR systems and procedures, including payroll preparation, leave management, and employee records maintenance.
- Prepare, review, and manage confidential correspondence, reports, and presentations.
- Coordinate office supply inventory, vendor management, and facility maintenance.
- Assist in the planning and execution of company events, meetings, and training sessions.
Qualifications
- Bachelor's Degree in Business Administration, Human Resources, or a related field.
- Minimum of 3-5 years of proven experience in an administrative supervisory role or as an Executive Assistant.
- Strong command of English, Bahasa Malaysia, and Mandarin (both written and spoken).
- Excellent organizational, time management, and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong interpersonal skills with the ability to interact effectively with all levels of management.
- High level of integrity, discretion, and ability to handle sensitive information.
- Experience with HRIS systems and labor law regulations is an advantage.
