Job Description

STC FAST MANAGEMENT SERVICES is seeking a detail‑oriented Administrative Assistant to support our foreign worker compliance team in Kuala Lumpur. In this role you will be responsible for preparing and maintaining accurate documentation, performing data entry for permit renewals and special passes, and monitoring renewal statuses through online systems. You will act as a key liaison between internal departments, government agencies, and foreign workers, ensuring all administrative processes run smoothly and on schedule. The ideal candidate possesses strong organisational skills, proficiency with MS Office applications, and the ability to handle confidential information with discretion. This full‑time position offers a competitive salary range of RM 2,000–RM 3,000 per month, along with the opportunity to grow within a dynamic service‑oriented organization.

Responsibilities

  • Prepare, verify, and maintain documentation for foreign worker permit renewals and special passes.
  • Perform accurate data entry and update records in internal databases and government portals.
  • Monitor renewal timelines and proactively follow up to avoid lapses in compliance.
  • Coordinate with HR, operations, and external agencies to gather required information.
  • Generate reports on permit status, upcoming expirations, and compliance metrics.
  • Assist in responding to inquiries from foreign workers regarding their documentation.
  • Ensure all files are stored securely and adhere to data protection policies.
  • Support ad‑ministrative tasks such as scheduling, filing, and office supply management as needed.

Qualifications

  • Minimum SPM or equivalent; diploma in Business Administration or related field preferred.
  • Proven experience in administrative support, data entry, or document control.
  • Familiarity with foreign worker permit processes and government regulations is a plus.
  • Proficiency in MS Office (Word, Excel, Outlook) and ability to learn new software quickly.
  • Strong attention to detail and accuracy in handling sensitive information.
