Responsibilities

  • Provide comprehensive administrative and procurement support to the Director, including calendar management, travel arrangements, and meeting coordination.
  • Source, evaluate, and liaise with vendors and suppliers to obtain competitive quotations and ensure timely delivery of goods and services.
  • Prepare and process purchase orders, invoices, and expense reports, ensuring accuracy and timely approvals.
  • Maintain and update vendor databases, contract records, and procurement documentation.
  • Track order status, resolve discrepancies, and follow up on pending deliveries or shipments.
  • Assist in drafting correspondence, reports, presentations, and minutes of meetings.
  • Coordinate internal communications and event logistics as directed by the Director.
  • Support ad-hoc projects related to administration, procurement, and office management.

Qualifications

  • Minimum Diploma in Business Administration, Supply Chain Management, or a related field.
  • At least 1–2 years of experience in an executive assistant, administrative, or procurement support role.
  • Strong organisational and multitasking abilities with meticulous attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with procurement software is an advantage.
  • Excellent written and verbal communication skills in English.
  • Ability to work independently, prioritise tasks, and meet deadlines in a fast-paced environment.
  • Proactive problem-solving mindset and a team-oriented attitude.
  • Knowledge of vendor sourcing and basic negotiation principles is a plus.
