Responsibilities

  • Manage the executive's complex calendar, schedule appointments, and coordinate all travel arrangements (both domestic and international).
  • Act as the primary point of contact for internal and external stakeholders, screening and prioritizing correspondence (emails, calls, letters).
  • Prepare, review, and edit confidential documents, reports, and presentations for board meetings, strategic reviews, and key initiatives.
  • Coordinate and support high-level meetings, including agenda setting, minute taking, tracking action items, and ensuring follow-through.
  • Oversee daily office administration, manage procurement, and assist with special projects to enhance departmental efficiency and workflow.
  • Handle sensitive patient and operational data with the utmost discretion, strictly adhering to PDPA and organizational protocols.
  • Liaise between multiple departments across the healthcare organization to facilitate seamless communication and project execution.
  • Support the onboarding and offboarding of team members and executives as needed.

Qualifications

  • Diploma or Bachelor's Degree in Business Administration, Healthcare Management, Communications, or a related field.
  • Minimum 2 to 4 years of proven experience as an Executive Assistant or Personal Assistant, ideally within healthcare, hospital administration, or a large MNC matrix environment.
  • Exceptional organizational and multitasking abilities with an obsessive eye for detail and accuracy.
  • Excellent verbal and written communication skills in English. Proficiency in an Asian language (e.g., Mandarin, Malay) is an advantage.
  • Advanced proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Demonstrated ability to work independently, anticipate the needs of leadership, and exercise sound judgment and discretion.
