Responsibilities
- Provide comprehensive secretarial and administrative support to the Group Managing Director.
- Manage an extensive and complex executive calendar, coordinating all meetings, appointments, and high-level events.
- Organize all aspects of domestic and international travel arrangements, including flights, accommodations, visas, and detailed itineraries.
- Act as the primary point of contact and liaison between the GMD and internal/external stakeholders (Board of Directors, investors, clients, government bodies).
- Prepare, review, and manage highly confidential correspondence, reports, presentations, and board meeting materials under tight deadlines.
- Record, transcribe, and distribute accurate meeting minutes, ensuring timely follow-up on action items.
- Handle sensitive financial administration, such as expense reports, budget tracking, and invoice approvals for the executive office.
- Coordinate and manage special projects, strategic initiatives, and corporate events as assigned by the Group Managing Director.
Qualifications
- Diploma or Bachelor's Degree in Business Administration, Management, Secretarial Science, or a related field.
- Minimum of 4–6 years of working experience as an Executive Assistant, preferably supporting C-Suite or Managing Director level executives.
- Exceptional command of English and Bahasa Malaysia, both written and spoken. Proficiency in Mandarin is a strong advantage.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to maintain the highest level of confidentiality, discretion, and professionalism.
- Strong organizational, multitasking, and time-management skills with the ability to prioritize conflicting demands effectively.
- Proactive, resourceful, and able to work independently with minimal supervision in a fast-paced environment.
- Outstanding interpersonal and stakeholder management skills, with a strong service-oriented mindset.
