Responsibilities

  • Act as the primary point of contact for the CEO, managing an extremely active calendar of appointments, internal meetings, and external engagements.
  • Complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organisation, including preparing correspondence, reports, and presentations.
  • Coordinate complex domestic and international travel arrangements, itineraries, and logistics for the executive team and visiting business partners.
  • Manage the CEO's email inbox, prioritising, screening, and responding to correspondence with tact and professionalism.
  • Assist in the preparation and execution of board meetings, investor relations, and senior management meetings, including minute taking and action item tracking.
  • Handle confidential and sensitive information with absolute discretion and integrity.
  • Oversee special projects and personal errands for the CEO, ensuring timely and flawless completion.
  • Liaise with international clients, suppliers, and partners to maintain strong business relationships and facilitate seamless communication.

Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field is highly preferred.
  • Minimum of 3-5 years of proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives.
  • Exceptional organisational skills and impeccable attention to detail in a high-pressure environment.
  • Outstanding written and verbal communication skills in English (proficiency in Mandarin or other languages is a strong advantage due to our international clientele).
