Responsibilities

  • Proactively manage and optimize the Director's complex calendar, including scheduling meetings, appointments, and conferences, with keen attention to detail and changing priorities.
  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodation, visas, and detailed itineraries.
  • Prepare, proofread, and format confidential reports, presentations, correspondence, and other documents to a high professional standard.
  • Act as the primary point of contact and gatekeeper for the Director, filtering communications and managing inquiries effectively and courteously.
  • Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items to ensure timely completion.
  • Handle confidential information and sensitive matters with the utmost discretion, professionalism, and integrity.
  • Assist with personal administrative tasks and special projects as required, demonstrating flexibility and a 'can-do' attitude.
  • Process expense reports, invoices, and purchase orders, ensuring accuracy and adherence to company policies.

Qualifications

  • Minimum of 5-7 years of dedicated Personal Assistant (PA) or Executive Assistant (EA) experience directly supporting Directors or C-level executives in a demanding corporate environment.
  • Exceptional organizational, time management, and multitasking skills with a proven ability to anticipate needs and prioritize effectively under pressure.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with modern communication and collaboration tools.
  • Impeccable written and verbal communication skills in English and Bahasa Malaysia are essential.
  • Demonstrated ability to maintain strict confidentiality and exercise sound judgment, tact, and discretion at all times.
  • Proactive, self-motivated, and resourceful with the ability to work independently with minimal supervision.
  • A relevant diploma or degree in Business Administration, Secretarial Studies, or a related field is preferred.
  • Experience within a digital, technology, or fast-paced professional services industry is a significant advantage.
