Key responsibilities include supporting daily office operations, handling correspondence in English and Japanese, managing calendars, coordinating meetings and travel, maintaining electronic and physical filing systems, and assisting with data entry and reporting. Responsibilities
- Provide frontline administrative support, including greeting visitors, handling phones, and managing inquiries in English and Japanese.
- Coordinate calendar management, meeting logistics, and travel arrangements for team members and executives.
- Prepare and format documents, reports, and correspondence with accuracy and attention to detail.
- Maintain organized filing systems (digital and physical), ensuring efficient retrieval of information.
- Process incoming and outgoing communications, tracking status and follow-ups as needed.
- Assist with data entry, records management, and basic data analysis to support operations.
- Support cross-functional teams with project coordination and translation/interpretation when required.
Qualifications
- Bachelor’s degree or equivalent experience in business administration or related field is preferred.
- Fluent in Japanese (speaking, reading, and writing) and proficient in English.
- Strong organizational skills with excellent attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfortable with basic office software.
- Excellent communication and interpersonal skills; ability to handle confidential information with discretion.
- Ability to multitask, prioritize, and thrive in a fast-paced environment.
- Previous experience in an administrative or receptionist role is a plus.
