We are seeking an experienced and highly organized professional to join our Kuala Lumpur office as the Manager, Operations & Administration. Reporting directly to senior leadership, you will act as a trusted partner and advisor, ensuring the smooth and efficient operation of the office while supporting the strategic goals of the firm. This is a highly visible role that offers direct exposure to senior management and the chance to influence the operational direction of a growing firm.
In this role, you will be responsible for overseeing all administrative functions, managing critical vendor and stakeholder relationships, and ensuring full compliance with local regulatory frameworks. You will manage budgets, lead special projects, and drive process improvements that enhance overall productivity. Your ability to anticipate needs, solve problems proactively, and communicate effectively will be key to your success.

Responsibilities
- Oversee the daily operations of the Kuala Lumpur office, ensuring a seamless and efficient working environment.
- Provide comprehensive administrative support to Senior Management, including calendar management, travel coordination, and meeting preparation.
- Manage vendor relationships, procurement processes, and negotiate contracts to optimize costs and service levels.
- Lead the implementation and continuous improvement of office policies, procedures, and internal controls.
- Coordinate internal events, board meetings, and external stakeholder engagements.
- Manage the office budget, track expenses, and prepare financial reports for management review.
- Supervise and mentor the administrative team, fostering a high-performance culture.
- Ensure full compliance with local statutory requirements, licensing, and regulatory filings.
Qualifications
- Bachelor's degree in Business Administration, Finance, Management, or a related field.
- Minimum of 5-7 years of progressive experience in operations and administration, ideally within the financial services or fund management industry.
- Proven track record of managing complex office operations and supporting C-level executives.
- Strong financial acumen with experience managing budgets and operational costs.
- Excellent interpersonal and communication skills, with the ability to interact confidently with global stakeholders.
- Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and familiarity with CRM/ERP systems.
- Proactive problem-solving mindset with a high degree of professionalism and discretion.
