We are seeking a highly organized and proactive Operations Liaison Assistant to support our international coordination efforts. In this role, you will be the key point of contact between our Singapore headquarters and overseas offices in South Africa, India, Indonesia, and Malaysia. As an Operations Liaison Assistant, you will facilitate effective communication, track project milestones, resolve logistical issues, and maintain strong relationships with international stakeholders. You will work closely with internal teams to align schedules, manage documentation, and ensure that all operational tasks are completed on time and within budget.

Responsibilities
- Liaise directly with overseas offices (South Africa, India, Indonesia, and Malaysia) to coordinate daily operations and ensure alignment with company goals.
- Track and follow up on action items, deadlines, and deliverables across multiple time zones.
- Prepare and distribute meeting agendas, minutes, and progress reports to stakeholders.
- Assist in resolving operational issues and escalate critical matters to management in a timely manner.
- Maintain accurate records of communications, contracts, and project documentation.
- Support the onboarding of new international partners and vendors by managing introductory schedules and documentation.
- Monitor shipment and logistics coordination when required, ensuring compliance with local and international regulations.
Qualifications
- Diploma or Degree in Business Administration, International Relations, or a related field.
- At least 1-2 years of experience in a liaison, coordination, or administrative support role.
- Excellent verbal and written communication skills in English; proficiency in Mandarin or Malay is a plus.
- Strong cross-cultural awareness and ability to work with teams from diverse backgrounds.
- Proven organizational and time management skills with the ability to multitask under pressure.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiar with collaboration tools like Slack or Teams.
- Ability to work independently and exercise sound judgment when handling sensitive information.
- Singaporean or Permanent Resident preferred; must be eligible to work in Singapore.
