Responsibilities
- Manage and maintain complex calendars, scheduling appointments, meetings, and conferences for executives.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
- Prepare and edit correspondence, reports, presentations, and other documents with high accuracy and discretion.
- Organize and maintain office filing systems, both physical and digital, ensuring easy retrieval of information.
- Act as a primary point of contact, screening calls and emails, and directing inquiries to appropriate personnel.
- Assist with various administrative tasks, including expense reporting, invoice processing, and supply management.
- Support project coordination and follow-up on action items to ensure timely completion.
- Liaise with internal departments and external stakeholders, maintaining professional and effective communication.
Qualifications
- Proven experience (2+ years) as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Exceptional organizational and time management skills with the ability to prioritize effectively in a dynamic environment.
- Strong written and verbal communication skills in English and Bahasa Malaysia.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with various office technologies.
- High level of professionalism, discretion, and ability to handle confidential information with integrity.
- Proactive and resourceful with excellent problem-solving abilities.
- Ability to work independently with minimal supervision and as part of a team.
- A diploma or degree in Business Administration, Secretarial Studies, or a related field is preferred.
