Responsibilities
- Manage and coordinate the Director’s complex calendar, including appointment scheduling, travel arrangements, and meeting logistics.
- Serve as the primary gatekeeper, handling incoming calls, emails, and correspondence with professional discretion.
- Draft, edit, and proofread official documents, reports, and presentations for internal and external distribution.
- Facilitate smooth communication between the Director and internal departments or external stakeholders.
- Organize and attend business meetings, capturing accurate minutes and tracking follow-up action items.
- Manage personal and business errands, ensuring the Director’s daily operations remain efficient and stress-free.
- Maintain organized digital and physical filing systems for confidential business records.
Qualifications
- Minimum 2–4 years of experience as a Personal Assistant, Executive Assistant, or Office Manager, preferably supporting senior leadership.
- Exceptional verbal and written communication skills in English.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern calendar management software.
- Proven ability to maintain absolute confidentiality and exercise sound judgment in sensitive situations.
- Excellent time management, prioritization, and problem-solving skills under tight deadlines.
- A proactive, “can-do” attitude with the ability to work independently with minimal supervision.
