Responsibilities

  • Schedule, coordinate, and maintain the Medical Director’s calendar and appointments, optimizing time usage.
  • Take detailed minutes during meetings, prepare concise follow‑up reports, and track action items.
  • Handle all incoming and outgoing correspondence—including emails, letters, and memos—ensuring timely and accurate responses.
  • Organise travel arrangements, itinerary planning, and accommodation bookings as required.
  • Maintain confidential files, records, and document repositories in an orderly and accessible manner.
  • Prepare presentations, reports, and other executive documents using MS Office tools.
  • Support the executive team with ad‑hoc administrative tasks and special projects as needed.

Qualifications

  • At least 2 years of relevant experience in a personal or executive assistant role, preferably within a medical or corporate environment.
  • Excellent verbal and written communication skills in English; proficiency in Bahasa Malaysia is an advantage.
  • Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Outstanding organisational and time‑management abilities with a keen eye for detail.
  • Ability to handle sensitive and confidential information with integrity.
