Responsibilities
- Prepare and issue purchase orders, requests for quotation, and tender documents in accordance with school and government procurement policies.
- Conduct market research and supplier evaluation to identify cost‑saving opportunities and maintain an approved vendor list.
- Negotiate pricing, terms, and delivery schedules with suppliers to achieve optimal value for the school.
- Monitor order status, track deliveries, and resolve any discrepancies or issues with vendors promptly.
- Maintain accurate procurement records, contracts, and documentation in the ERP system and ensure compliance with audit requirements.
- Assist in the preparation of monthly procurement reports, spend analysis, and forecasting for budget planning.
- Collaborate with finance, facilities, and academic departments to understand their procurement needs and provide timely solutions.
- Stay updated on regulatory changes, sustainability initiatives, and best practices in public sector procurement.
Qualifications
- Diploma or Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field.
- Minimum 1‑2 years of experience in procurement, purchasing, or a similar administrative role; exposure to government or public sector procurement is a plus.
- Strong understanding of procurement processes, contract management, and supplier relationship management.
- Proficient in MS Office (Excel, Word, PowerPoint) and experience with ERP or e‑procurement systems (e.g., SAP, Oracle, Coupa) is advantageous.
- Excellent numerical and analytical skills with keen attention to detail.
- Effective communication and interpersonal abilities to liaise with internal stakeholders and external vendors.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast‑paced environment.
- Knowledge of Singapore’s Government Procurement (GPC) rules and ethical standards is desirable.
