Responsibilities

  • Manage and maintain the Head of Production’s daily schedule, including appointments, meetings, and travel arrangements.
  • Prepare, proofread, and manage production reports, internal memos, and professional correspondence.
  • Coordinate and record minutes of meetings for production and operational briefings, ensuring timely follow-up on action items.
  • Serve as a liaison between the Head of Production and other departments, including HR, Logistics, and Quality Control.
  • Maintain a comprehensive and secure filing system for all production-related documents and confidential records.
  • Assist in the preparation of presentation materials for monthly production reviews and stakeholder meetings.
  • Handle incoming calls, visitors, and general inquiries directed to the production management office.
  • Monitor and order office supplies for the production department to ensure uninterrupted operations.

Qualifications

  • Possess at least a Diploma or Professional Certificate in Secretarial Science, Business Administration, or a related field.
  • Minimum of 2 to 3 years of working experience in a secretarial or executive assistant role, preferably within a manufacturing environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint) is essential.
  • Strong command of written and spoken English and Bahasa Malaysia; ability to speak Mandarin is an added advantage.
  • Exceptional organizational skills with the ability to prioritize tasks and meet tight deadlines.
