Responsibilities
- Lead and optimize end-to-end admin operations to ensure efficient office workflows, including facilities, procurement, and travel.
- Oversee calendar management, meeting coordination, and confidential executive support.
- Manage vendor relationships, contract negotiations, vendor performance, and procurement processes.
- Develop and implement standard operating procedures for admin functions, ensuring compliance and risk mitigation.
- Coordinate budget planning, invoicing, expense tracking, and financial reconciliation for admin activities.
- Supervise and mentor administrative staff, allocate workload, and drive team performance.
- Collaborate with cross-functional teams (HR, Finance, IT, Operations) to streamline processes and drive continuous improvement.
- Prepare dashboards and reports on key admin metrics (spend, turnaround times, service levels).
Qualifications
- Bachelor's degree in Business Administration, Management, or related field.
- 5+ years of experience in admin operations, facilities management, or equivalent.
- Strong organizational skills, multitasking, and attention to detail.
- Excellent written and verbal communication; able to interact with stakeholders at all levels.
- Proficiency with Microsoft Office, Google Workspace, and admin software (ERP/CRM).
- Experience with vendor management, contract negotiation, and budgeting.
- Ability to thrive in a fast-paced environment, demonstrate ownership, and drive continuous improvement.
