Responsibilities
- Manage full-cycle bookkeeping using accounting software including accounts payable/receivable, bank reconciliations, and general ledger entries.
- Process customer invoices, payments, and credit memos accurately and efficiently on a daily basis.
- Reconcile workshop parts and service sales daily, weekly, and monthly to ensure accuracy.
- Provide comprehensive administrative support to the workshop manager and team, including data entry, filing, and scheduling.
- Assist with payroll preparation, employee expense reports, and monthly financial reporting.
- Handle customer inquiries professionally via phone and email regarding billing, service updates, and appointments.
- Maintain organized filing systems for financial documents, vehicle service records, and client information.
- Prepare monthly financial summaries and management reports to support business decision-making.
Qualifications
- Proven experience (at least 1-2 years) as an Administrative Assistant, Bookkeeper, or Accounts Clerk, ideally within the automotive, trades, or service industry.
- Proficiency in accounting software (e.g., Xero, MYOB, QuickBooks). Intermediate to advanced skills in Microsoft Excel are essential.
- Strong numerical aptitude with a high level of accuracy in data entry and financial transaction processing.
- Excellent organizational and time-management skills, with the ability to prioritize multiple tasks in a fast-paced workshop environment.
- Strong verbal and written communication skills in English, with a professional and customer-focused demeanor.
- Ability to work both independently with minimal supervision and collaboratively as part of a small, dynamic team.
- Bachelor's degree in Accountancy, Finance, Business Administration, or a related field is highly preferred.
- Must be willing to work onsite in Manila City, Metro Manila.
