Responsibilities
- Manage the Chairman’s complex calendar, including scheduling meetings, appointments, and travel itineraries with precision.
- Act as the primary point of contact for internal and external communications, screening calls, emails, and visitors.
- Prepare, review, and organize documents, reports, and presentations for board meetings and strategic discussions.
- Coordinate travel arrangements (domestic and international), including flights, hotels, visas, and ground transportation.
- Handle confidential information with absolute discretion and maintain strict confidentiality at all times.
- Assist with personal tasks and errands as needed, demonstrating flexibility and proactive problem-solving.
- Liaise with department heads and external stakeholders to ensure timely follow-up on action items.
- Anticipate the Chairman’s needs and provide administrative support to optimize their productivity.
Qualifications
- Minimum 3 years of experience as a Personal Assistant, Executive Secretary, or similar role supporting C-level executives.
- Bachelor’s degree in any field (preferably Business Administration, Communication, or related discipline).
- Excellent command of English and Bahasa Indonesia (both written and spoken).
- Proven ability to manage multiple priorities and work under pressure in a fast-paced environment.
- High level of integrity and discretion when handling sensitive information.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and modern scheduling tools.
- Exceptional organizational, time management, and interpersonal skills.
- Willingness to work flexible hours and travel occasionally as required by the Chairman’s schedule.
