Responsibilities

  • Provide full administrative and secretarial support to the General Manager, including calendar management, travel arrangements, and expense reporting.
  • Act as a key liaison between the GM and internal/external stakeholders, ensuring clear and timely communication in Mandarin and Bahasa Indonesia.
  • Prepare and translate business documents, presentations, and correspondence from Mandarin to English/Bahasa Indonesia and vice versa.
  • Coordinate and participate in important company meetings, taking minutes and following up on action items.
  • Assist in business negotiation processes by providing interpretation and documentation support.
  • Manage and prioritize incoming communications (calls, emails, messages) on behalf of the GM.
  • Handle confidential information with discretion and professionalism.
  • Support ad-hoc projects and operational tasks as assigned to facilitate smooth business operations.

Qualifications

  • Bachelor's degree in Business Administration, Communication, or a related field.
  • Minimum 2 years of experience as a Personal Assistant, Executive Secretary, or similar role.
  • Native or near-native fluency in Mandarin (both spoken and written) is mandatory.
  • Proficient in Bahasa Indonesia and English (oral and written).
  • Excellent organizational and time-management skills, with the ability to multitask under pressure.
  • Strong attention to detail and problem-solving abilities.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and maintain a high level of confidentiality.
