Responsibilities
- Manage and maintain the Director's complex calendar, including appointment scheduling and meeting coordination.
- Serve as the primary point of contact for internal and external stakeholders, handling communications with professionalism and discretion.
- Prepare, proofread, and format documents, reports, presentations, and correspondence for the Director.
- Organize and facilitate domestic and international travel arrangements, including itineraries, visas, and accommodation.
- Attend meetings, take comprehensive minutes, and ensure the timely follow-up of action items.
- Manage executive expense reports and handle confidential filings with strict data integrity.
- Coordinate with department heads to facilitate efficient information flow between teams and the executive office.
Qualifications
- Minimum Bachelor’s degree in Business Administration, Communications, or a related field.
- At least 3-5 years of experience in a secretarial or executive assistant role, preferably supporting C-level executives.
- Excellent verbal and written communication skills in both Indonesian and English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Google Meet).
- Strong organizational skills with the ability to prioritize tasks in a high-pressure environment.
- Impeccable attention to detail and a proactive approach to problem-solving.
- Strong interpersonal skills with the ability to maintain professional relationships at all levels.
