Responsibilities
- Proactively manage and optimize complex calendars for the CEO and COO, including scheduling meetings, calls, and appointments, ensuring efficient use of executive time.
- Act as a primary gatekeeper and liaison, screening incoming communications, prioritizing requests, and managing correspondence on behalf of the executives.
- Prepare, proofread, and format confidential documents, presentations, reports, and internal/external communications with meticulous attention to detail.
- Coordinate and support strategic projects and initiatives, including tracking progress, managing deadlines, and ensuring timely completion of deliverables.
- Organize and facilitate executive meetings, including preparing agendas, distributing pre-read materials, taking comprehensive minutes, and tracking action items.
- Arrange extensive domestic and international travel logistics, including flights, accommodation, ground transportation, and detailed itineraries.
- Manage expense reporting, invoice processing, and budget tracking for the CEO and COO, ensuring compliance with company policies.
- Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive information and privileged communications.
Qualifications
- Bachelor's degree in Business Administration, Management, or a related field; an MBA or relevant certifications are a plus.
- Minimum of 8-10 years of progressive executive support experience, with at least 5 years specifically supporting C-level executives (CEO, COO, President).
- Proven ability to manage multiple priorities, work under pressure, and meet tight deadlines in a fast-paced, dynamic environment.
- Exceptional organizational, planning, and problem-solving skills with a strong proactive and anticipatory approach.
- Superior written and verbal communication skills in English, with the ability to interact professionally and effectively with all levels of the organization and external stakeholders.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM or project management tools.
- Demonstrated ability to exercise independent judgment, maintain strict confidentiality, and handle sensitive information with impeccable discretion.
