Biosphere is seeking a proactive and discreet Personal Assistant who is fluent in Mandarin to support our executive team from our office in Tangerang, Banten. This full-time role combines executive support, administrative excellence, and cross-cultural communication to keep our operations running smoothly. As a Mandarin-speaking Personal Assistant, you will partner with senior leaders to optimize daily workflows, facilitate clear communication with international partners, and maintain a structured, professional office environment. You will play a critical role in calendar management, travel coordination, document preparation, and confidential information handling, enabling the executives to focus on strategic initiatives. Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel with attention to time zones and executive priorities.
- Communicate in Mandarin with clients, partners, vendors, and internal teams; draft, translate, and proofread key documents.
- Prepare and edit reports, presentations, and briefing materials with high accuracy and confidentiality.
- Arrange comprehensive travel itineraries, accommodations, visas if required, and expense reporting.
- Support daily administrative tasks including filing, data entry, document management, and procurement.
- Act as a liaison between executives and staff, screening calls and prioritizing inquiries.
- Plan, organize, and coordinate meetings, events, and trainings, ensuring smooth logistics and materials.
- Support special projects and research tasks as needed to drive efficiency and business outcomes.
Qualifications
- Fluent in Mandarin with strong business communication skills; proficiency in English and Indonesian is preferred.
- Proven experience as a Personal Assistant, Executive Assistant, or administrative support role, ideally in a multinational or cross-cultural environment.
- Excellent organizational and time-management abilities; capable of managing multiple priorities with minimal supervision.
- Proficient in MS Office (Word, Excel, PowerPoint) and collaboration tools; comfortable with basic IT tasks.
- Strong written and verbal communication skills, meticulous attention to detail, and a professional demeanor.
- Discretion and the ability to handle confidential information with integrity.
- Proactive, resourceful, and collaborative team player with a positive work ethic.
- Willingness to work in Tangerang and adapt to executivesâ schedules as needed.
